Altrincham Youth Choir
Photo and Video Consent
Why we take photos and video
We love to share what our young singers achieve, and photos and short videos help us tell people about AYC and recruit members. We also know that children’s images need careful protection, so here is exactly how we handle them.
Who takes the photos
Photos and video are mainly taken by our appointed photographer, Sarah Foubert of Foubography, who is DBS checked. Our directors, Cally Youdell and Simon Passmore, may also film short clips of rehearsals and events for our social media, using their own phones, with another adult present and only of children whose parents have given social media consent. These clips are moved to AYC’s secure storage and deleted from the phone. No other adult at AYC takes images of children on their own phones or cameras.
Parents, carers and audience members are asked not to take photos or film at AYC concerts and events. This keeps all our children’s images in one place and under our control, so that families who do not consent to any publication are respected. We will share a selection of photos with all AYC families after each concert.
What we may photograph
Rehearsals (occasionally), concerts, Come & Sing days, workshops, holiday weeks, and posed promotional photos.
How we protect your child
We never use a child’s full name alongside their photo or video. At most we use a first name, and only with consent.
We never share a child’s address, school or other personal details with an image.
We do not tag children or follow or connect with children’s social media accounts.
Images are stored securely, and only AYC and our photographer can access them. Clips filmed on the directors’ phones are moved to AYC’s secure storage and deleted from the phone, with cloud backup switched off.
Your child’s wishes matter. If your child (particularly if aged 11 or over) does not want to be photographed, we will respect that.
How long we keep images, and your right to change your mind
We keep images for as long as they are useful for AYC, and for a maximum of three years after they are taken. After that they are securely deleted.
Your consent applies until you change it or your child leaves the choir.
You can withdraw or change your consent at any time by emailing us or telling Cally. We will stop using your child’s images and take them down from our website and social media within 14 days. We cannot recall printed materials (such as programmes) or press articles already published, and we cannot control copies taken or shared by others before withdrawal.
Your data
AYC (run by Cally Youdell) is responsible for this information. We process images and video on the basis of your consent under UK GDPR, which is why we ask you to opt in. You have the right to see the images we hold of your child, to ask for them to be deleted, and to withdraw consent at any time. If you are unhappy, you can contact us first, and you also have the right to complain to the Information Commissioner’s Office (ico.org.uk). Our photographer processes images on AYC’s behalf and under our instructions.
